Every facility manager in India has a new acronym to learn. DPDP, the Digital Personal Data Protection Act, applies to visitor data the moment you collect a name, phone number, or photo. The good news is that compliance is mostly common sense, codified.
The four obligations that matter most
There is a longer checklist, but four obligations cover most of the day-to-day reality of a visitor management system.
Clear consent
Every visitor must see a plain-language consent screen before submitting any data. The screen should explain what is collected, why, and how long it is stored.
Purpose limitation
Visitor data collected for entry control should not be used for marketing. If you want to send a feedback email later, ask for that consent separately.
Defined retention
Decide how long you need each data type and stick to it. Most offices set 30 to 90 days for visitor logs and shorter windows for face images.
Easy deletion on request
Visitors can ask you to delete their data. Your VMS should make this a one-click operation, not a database hunt.
What to ask your VMS vendor
Ask where data is hosted, who has access, how face images are processed, and how data subject requests are handled. A serious vendor will answer in minutes.
DPDP is not a hurdle. It is a chance to clean up old visitor logs, tighten access, and build trust with everyone who walks through your doors.
